ToteHQ Pro is operated by TOTEHQ PRO LLC, a Florida limited liability company (“ToteHQ Pro”, “we”, “us”).

ToteHQ Pro provides operator software for independent tote rental businesses (“operators”): a branded booking site, operator dashboard, inventory, delivery and pickup tools, and payments through Stripe Connect.

• Our own information. For people who visit our site, join the waitlist, apply, or run an operator account, ToteHQ Pro decides how the information is used. This policy covers that.
• Operator customer data. When someone books a tote rental on a ToteHQ-powered booking site, the operator running that business is responsible for that customer relationship. We process that booking data on the operator’s behalf to provide the Service. If you are a rental customer, the operator’s own policies also apply, and you can contact the operator directly. We will help operators respond to requests about their customers’ data.

Waitlist. When you join the waitlist, we collect the information you submit: email address, ZIP / primary market, and your selected biggest daily frustration. We may also store a source tag (for example, that you joined from the landing page).

Apply and operator accounts. When you apply or run an operator account, we collect things like your name, business name, email, phone number, service area, business details you provide in your application, and settings you choose in the dashboard. Sign-in uses one-time email codes, so we process your email address and sign-in records (such as time and device/browser information) to keep accounts secure.

Plan checkout and billing. When you activate a plan or connect payments, payment and payout details are collected and processed by Stripe. We receive limited information from Stripe, such as your connected account status, payment status, amounts, and the last few digits or type of a payment method. We do not store full card or bank account numbers.

Operator dashboard data. Information operators enter or create while running their business, such as inventory, pricing, delivery and pickup schedules, routes, notes, and staff users.

Customer booking data (processed for operators). When a customer books through a ToteHQ-powered site, we process the details needed for the rental, such as name, email, phone number, delivery and pickup addresses, dates, items rented, order notes, and payment status. Card payments are processed by Stripe; operators are the merchant of record.

Text messages. If you text a ToteHQ Pro or operator number, or opt in to SMS, we collect your mobile number and the content of those messages.

Emails and support. If you email us, we keep the message and your contact details so we can respond.

Technical data. We automatically receive standard technical data when you use the site or Service (such as IP address, browser type, device information, pages requested, and timestamps) via our hosting and analytics providers as part of normal operation. We may use cookies or similar technologies for sign-in, security, and basic analytics.

We use information to run, maintain, and secure the Service, including keeping each operator’s data isolated from other operators’; review applications and set up operator accounts; send sign-in codes and account, billing, and service messages; process bookings, schedules, payment status, and booking and rental messages for operators; calculate and collect our fees through Stripe Connect; confirm waitlist signups, contact you about early access, understand operator needs by market and frustration theme, and improve ToteHQ Pro; respond to support requests; and prevent fraud and abuse, and meet legal obligations.

We may send waitlist members a confirmation email and occasional product updates related to early access. You can reply to those emails or contact us to ask us to stop. Account and service messages for active operators (like sign-in codes and billing notices) are part of using the Service.

We do not use operator customer data to market ToteHQ Pro or anyone else to those customers.

We do not sell your personal information.

We share information only as needed to run the Service.

Stripe processes payments, payouts, and connected accounts. Stripe handles payment information under its own privacy policy.

Service providers process data on our behalf, such as hosting, database, analytics, email delivery, and SMS delivery providers. They may only use your data to provide those services to us.

Customer booking data is shared with the operator you book with.

We may share information when required by law, or to protect the rights, safety, or property of our users, customers, or ToteHQ Pro.

If TOTEHQ PRO LLC is involved in a merger, sale, or reorganization, information may transfer as part of that deal, subject to this policy.

If you text a ToteHQ Pro or operator booking number, or opt in to SMS on a ToteHQ-powered site, we use your mobile number to reply to questions and to send booking and rental service messages (for example a pay link). We do not use mobile numbers for unrelated marketing texts.

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Message frequency varies. Message and data rates may apply. Reply STOP to cancel and HELP for help.

We use reasonable technical and organizational measures to protect information, including one-time-code sign-in, access controls, and separation of each operator’s data. No system is perfectly secure, so we cannot guarantee absolute security. Operators should keep their email accounts secure, since sign-in codes go there.

We keep information only as long as we need it.

Waitlist records: as long as needed to run early access and related communications, or until you ask us to delete them.

Applications: as long as needed to review them and follow up; declined applications are deleted after a reasonable period unless you ask to stay in touch.

Operator accounts and dashboard data: while the account is active, and for a reasonable period after it ends so operators can request an export and we can settle billing.

Customer booking data: as long as the operator’s account needs it, or as the operator directs, and then deleted or de-identified.

SMS and support messages: as long as needed to provide the service and handle opt-outs.

Billing and transaction records: as long as required for tax, accounting, and legal purposes.

We may keep information longer when the law requires it or to resolve disputes and enforce our agreements.

• Access, correction, deletion. Email hello@totehqpro.com with the subject “Privacy request” and the email address (or phone number) you used. Tell us what you would like. We may need to verify your identity before acting.
• Rental customers. If your request is about a booking with an operator, you can contact that operator directly or email us and we will route it to them.
• SMS. Reply STOP to any ToteHQ or operator text to opt out of SMS.
• Email. Reply to any early access or product update email, or contact us, to stop receiving them. Operators will still get required account messages while their account is active.

ToteHQ Pro is a Florida business. Privacy rights vary by state, and depending on where you live you may have additional rights under your state’s law. Whatever state you live in, you can contact us to request access to or deletion of your information, and we will respond as required by applicable law. We will not treat you differently for making a request.

ToteHQ Pro is for business operators and their adult customers. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, email hello@totehqpro.com and we will delete it.

We may update this policy as the product grows. The “Last updated” date at the top of this page will change when we do. For material changes, we will also try to notify active operators by email. Continued use of the site or Service after an update means you accept the revised policy.
